Who this covers
This policy applies to people who visit Aarvix Services pages and send a project brief, quote request, or request for a conversation. There is no account to create.
Questions about your information go through the contact page. Write from the same email address you used on the form. You can also send a written notice to the principal place of business above.
What we collect
The contact forms ask for your name, work email, phone, company, role, the service you are interested in, an optional engagement, timeline, a budget note, and the message itself.
We also store whether the confirmation email to you, and the copy to the studio inbox, were accepted by the mail provider. If a send fails, the error text is stored with the enquiry so we can see why.
The site does not ask you to create a password, and it does not take a card.
Why we hold it
We hold the form so a person at the studio can read the job and reply. The confirmation is sent to the email address you typed, so you have a copy of what you sent.
The form records the details you send so we can reply. It is not used to build an advertising profile.
Who else sees it
The studio inbox receives the same details, with your email as the reply-to address. The mail provider that delivers those messages processes the content of the email in order to send it.
We do not sell enquiry data. We do not pass it to an advertising network.
If a later engagement uses a model provider for AI work, that is named in the written scope for that job. Sending a contact form does not send your message to a model.
How long we keep it
Enquiry records are kept while the conversation is open and for as long as we need them to answer a question about what was proposed. You can ask us to delete a form that did not become an engagement.
If the conversation becomes a project, the scope, invoices, and delivery records are kept for the life of that work and for a reasonable period afterwards so either side can refer to what was agreed.
Your requests
Use the contact page, from the email address on the original form, to ask for a copy of what we hold, a correction, or deletion of an enquiry that did not become work. A written request can also be sent to the principal place of business.
We confirm the request against that email address before we act on it.
